Role Summary:
We are seeking a detail-oriented and proactive individual to join our dynamic marketing team. The ideal candidate will be responsible for a wide range of administrative tasks that support our marketing efforts, enhance customer engagement, ensure compliance, and streamline day-to-day operations. This role requires excellent organisational skills, strong attention to detail, and the ability to manage multiple tasks effectively.
There will be the opportunity for the individual to be involved in digital marketing campaigns, content creation, exhibitions & events, and KOL/DOL engagements.

Key Accountabilities:
- Support for Imaging & Solutions: Work closely with the marketing and sales teams to understand and support tactical needs, including coordinating customer engagement activities.
- Lean Execution: Execute tasks with a lean approach to optimise total process time.
- Action List Management: Create and manage action lists, follow up, and communicate progress and next steps to the team.
- Compliance Management: Ensure compliance for sponsorships, partnerships, and KOL speaker engagements; manage internal compliance workflows; handle legal agreements; draft consent forms; oversee invoicing processes.
- Legal Documentation Drafting legal agreements such as speaking agreements or other required documentation.
-Marketing Material Compliance Manage all locally generated materials through Veeva system ensuring they meet regulatory standards before distribution
Third-Party Coordination Collaborate externally by ordering collaterals from suppliers while organizing shipments managing inventories coordinating travels etcetera
Merchandise Management Order merchandise via third parties arrange deliveries maintain stock levels accordingly
Workflow Purchase Orders Generate workflows within Veeva platform create purchase orders using Agora software track payments invoices follow-ups when necessary Vendor Supplier Relations Liaise between various vendors venues service providers guarantee timely provision goods services Logistical Arrangements Plan itineraries book accommodations transportations inform clients about schedules ensure smooth execution communications Reporting Regularly update reports detailing campaign performances feedbacks statuses Process Implementation Wing-Wing Procedures Adhere strictly company policies obtain approvals generate POs monitor progress chase outstanding bills Health Safety Conduct risk assessments prior hosting any event uphold safety protocols throughout Key Skills Experience Required Excellent Administrative Abilities Strong Organizational Capabilities Multitasking Prioritization Meeting Deadlines Fluency English Language Both Written Verbal Forms Interpersonal Communication Independent Working Operational Mindset Strategic Thinking Creative Problem Solving Urgency Efficiency Driving Results
