Role Overview
We are seeking a detail-oriented and resourceful Executive Assistant / Project Manager who will work closely with the CEO to manage both professional and personal responsibilities. This role blends executive assistance, project management, and accounting support, requiring a proactive mindset, exceptional organizational skills, and the ability to juggle diverse tasks. This is a dynamic role that offers the opportunity to contribute directly to the CEO’s success and the growth of Ulex.

Responsibilities
Executive Support:
- Manage the CEO’s calendar
- Schedule meetings
- Organize travel arrangements
- Prepare meeting agendas

Personal Assistance:
- Assist the CEO with personal tasks such as scheduling
- Errands
- Reservations
- Occasional travel arrangements

Communication:
- Serve as the CEO’s primary liaison for internal and external communications
- Ensure prompt and professional responses

Accounting Support:
- Track and manage expense reports and reimbursements
- Oversee payments to vendors, contractors, and suppliers
- Assist with invoice management
- Budget tracking
- Financial reporting
- Coordinate with bookkeepers and accountants

Project Management:
Monitor tasks, deadlines, and deliverables across various initiatives ensuring that the CEO & team stay on schedule.

Event Planning:
Plan & coordinate events including investor meetings team off-sites & client engagements.

Research & Preparation:
Conduct research prepare briefs & compile reports supporting decision-making by the CEO.

Organizational Solutions:
Develop & maintain systems for document management task tracking & team coordination.

Stakeholder Liaison:
Act as interface between CEO & key stakeholders including investors clients & advisors.

Qualifications
English professional expertise C1/2

Accounting Knowledge: Familiarity with basic accounting principles tools such as QuickBooks or similar platforms.

Experience: Minimum 3+ years of experience in executive assistance project management or a similar role ideally in a startup environment.

Tech-Savvy: Proficient with tools like Google Workspace Notion Slack Zoom project management software.

Organizational Skills: Ability to manage multiple tasks priorities simultaneously exceptional attention detail.

Problem-Solving Mindset: Proactive resourceful capable of finding solutions independently.

Strong Communication: Excellent verbal written communication skills ability interact professionally at all levels.

Discretion: Proven ability handle sensitive confidential information.

Adaptability: Comfortable in fast-paced ever-changing startup environment.

Preferred Qualifications
Background in finance accounting bookkeeping.
Experience supporting C-level executives in dynamic organization.
Familiarity AI technology strong interest tech space.
