ORGANIZATION OVERVIEW
Exeter UNESCO City of Literature (ExCoL) is seeking a temporary Events Producer. You will be responsible for producing and co-producing ExCoL’s stakeholder and public events including our large annual Book Market on Sunday June 8th, an author gathering in the spring, an experiential private stakeholder event in October, and other one-off events as needed.
Our events and programmes are high-quality, informative yet fun, and experiential in nature. We pride ourselves on creating an inclusive, warm, and unique atmosphere at our events; we want everyone to feel welcome and to come away with a sense of feeling fulfilled culturally and socially.
ROLE SUMMARY
The role of the Events Producer is to manage the logistics of our events to enable them to go as smoothly as possible. You’re someone who is actively engaged in your community, passionate about building local connections, and you have a strong sense of where young professionals and diverse audiences like to spend their free time. Depending on the nature of the event or programme, the Event Producer may also be involved in bringing content ideas to the table and seeing them through to completion.
RESPONSIBILITIES
The Events Producer will play a crucial role in expanding the reach of ExCoL’s charitable work by:
- Working with the Executive Director, Public Programmes Manager, Communications Associate, and/or trustees to establish a vision for events
- Ensuring event production, staffing/volunteers, and revenue requirements are delivered to a high quality and agreed timescales/budget
- Handling venue bookings; coordinating drayage; sourcing any necessary equipment/materials
- Coordinating with Communications Associate for marketing campaigns information well ahead
- Prioritising attendee experience at every aspect of an event
- Completing production itineraries/risk assessments
- Creating/updating multiple spreadsheets for detail tracking
- Being present onsite during events for logistics management; participating in set-up/breakdown; coordinating staff/volunteer support where applicable
- Proactively troubleshooting/planning for potential problems
- Completing an event debrief communicating successes/learnings
FEE AND CONTRACT DETAILS
Fee: £200-£300 per day depending on experience. You will invoice us once a month.
Contract: Temporary part-time until end October with possibility for extension.
Role average: Approximately 1–2 days per week; more during larger events (e.g., Book Market).
LOCATION
On location/hybrid. Must be available in Exeter as needed particularly leading up/during events which may occur evenings/weekends.
REPORTING STRUCTURE
Responsible To: Executive Director while working closely with Public Programmes Manager & Communications Associate.
