Finance and Operations Officer
Description
As an integral part of our Operations team, the Finance and Operations Officer will work closely with our Operations Manager, playing a key role in supporting the effective management of IRMO's day-to-day operations with a focus on financial responsibilities. The post-holder will also be responsible for administrative tasks such as liaising with service providers and procuring office supplies, as well as supporting the development and implementation of IRMO's policies and procedures. Additionally, the post-holder will act as IRMO's Safeguarding Officer to support the Safeguarding Lead in ensuring compliance with safeguarding policies and promoting a safe environment across the organisation.
Key Responsibilities
Financial Responsibilities
- Maintain accurate and up-to-date financial records using accounting software
- Input all payments, including invoices, expense claims, bank charges, salary payments, HMRC, and any other payments into the financial system
- Generate and issue invoices for services provided, ensuring accuracy and adherence to procedures
- Reconcile all bank accounts regularly, identifying and resolving any discrepancies
- Review transaction lists to identify anomalies such as misposts or missing invoices, taking corrective actions as necessary
- Review accounts receivable balances and follow up on overdue invoices, maintaining effective communication with relevant stakeholders
- Support the development of quotes, budgets, and financial tools in collaboration with the Operations Manager
- Conduct regular analysis of office expenditures to identify cost-saving opportunities and ensure adherence to budgetary guidelines
- Work closely with the Operations Manager to implement and update financial controls to meet the organisation's budgets
- Managing banking transfers and payments
- Provide information to staff on expense procedures and guidelines
- Ensure accurate and timely submission of financial information
Operations Responsibilities
- Liaise with service providers and procure office supplies
- Handle repair and maintenance issues
- Conduct regular stock takes order office supplies with approval from the Operations Manager Director
- Manage IRMO's IT Fixed Register including allocation of IT equipment to team members
- Support management of IRMOs systems processes (including Google Workspace CRM HR Health Safety platforms)
- Monitor support renewal of IRMOs accreditations memberships subscriptions working collaboration Senior Management Team when relevant
- Support implementation organisational policies procedures processes.
- Manage IRMO's Social Media website
- Promote IRMO's services projects activities through creation flyers other promotional materials
- Support creating institutional materials headed paper other organisation-wide templates
- Lead organisation Annual General Meeting event support planning other events activities across organisation
- Take minutes board meetings
Safeguarding (admin Support)
- Act first point contact ensure all staff trustees complete required safeguarding checks including DBS (Disclosure Barring Service) checks
- Ensure safe recruitment procedures properly implemented throughout whole organisation that records logs kept up date
- Work closely Safeguarding Lead ensure accuracy safeguarding records full compliance IRMOs safeguarding policy
Track safeguarding training expiry dates coordinate scheduling new training sessions staff volunteers trustees.
The Post-holder Will Also Be Required To:
Attend regular supervision sessions team meetings.
Attend appropriate training development activities agreed line manager.
Undertake any other activities consistent purpose role directed line manager.
Person Specification
Essential:
At least one year experience similar role.
Excellent written spoken communication skills English.
Experience organising prioritising managing time effectively.
Excellent attention detail.
Excellent IT skills including Google Workspace applications Microsoft Office databases.
