We are currently seeking an experienced individual to join this team in the role of Executive Assistant.
Role Responsibilities:
- Diary management, email handling, administration of leadership meetings and other key committees.
- Scheduling appointments on behalf of the Programme Office.
- Planning and structuring programmes and itineraries across different time zones.
- Proactively identify and resolve conflicting meetings as well as reminding and assisting in preparing for important meetings.
- Exercise complete confidentiality in day-to-day activities due to the nature of information administered.
- Deliver excellent service; respond to individual stakeholders and colleagues regarding time management and duties carried out.
- Keep stakeholders and colleagues informed where appropriate; support Global colleagues when needed.
- Support the PMO team by providing clear instruction and follow-up regarding information recording and minute-taking.
- Ensure all expenses and invoices are processed within an efficient timeframe.
- Organise international travel arrangements including booking flights/accommodation, arranging visas, planning itineraries.
- Maintain programme whereabouts/holiday tracker.
- Training tracking.
- Work collaboratively with other assistants.

- Highly organised with ability to work under pressure; multitask; prioritise workload in very short timescales.

- Strong interpersonal skills; confident with ability to work at all levels.
- Professional image projected towards clients/stakeholders.
- Strict adherence to confidentiality requirements.
- Ability to deal assertively but sensitively with internal/external customers.
- Remain calm under pressure while acting with discretion/integrity.
- Efficient/productive with substantial workload without sacrificing quality.
- Ability to take responsibility for small individual projects (preparation/compilation/distribution of information).
- Personable with excellent rapport-building within team environment.
- High levels of integrity while handling confidential/sensitive matters professionally at all times
- Ability to plan/structure programmes/itineraries across time zones maximizing Programme Director’s time/interactions globally.
Previous experience working at a senior level in a large financial services organisation is preferred.
